Amateur sports club secretaries juggle between WhatsApp, Excel, emails and paper notebooks to manage their teams. Result: forgotten convocations, untracked fees, expired licenses without alerts, and hours lost in administration instead of focusing on sports.
Existing solutions are either too limited (Spond = teams only), too expensive for amateur clubs (TeamSnap at 99 USD/month), or not adapted to the Belgian and French context (ASBL/non-profit, federation licenses, municipal grants).
ClubOS centralizes all club management in a single modern web application. Real-time KPI dashboard, multi-team and multi-section management, event invitations with account-free response links (players click Present/Absent from a simple link), complete financial tracking, and facilities management.
Tech stack: Next.js 15 + TypeScript + Tailwind + shadcn/ui for the frontend, self-hosted Supabase (PostgreSQL + Auth + Realtime) for the backend. Pastel Mind Map design with a soft color palette. Hosted on Hetzner for zero operating cost. Trilingual interface FR/NL/EN.
A la carte model: the base is free (dashboard, teams, events, members). Clubs add modules based on their needs, as one-time lifetime purchases:
Match Tracker Live: real-time match tracking with actions (goals, assists, yellow/red cards, penalties), tactical lineup, and Panini-style player cards with cumulative stats.
Members Pro: complete player profiles (contact info, blood type, emergency contact, nationality), federation license management, attached documents, renewal alerts.
Finances: subscriptions with online payment (Stripe), income/expense tracking by section, PDF and CSV exports.
Club Management: sports facility bookings, volunteer planning, general assemblies with online voting and minutes generation.
